Alomana ("we", "us", "our") operates Alo GTM, an AI meeting assistant for individuals and organizations. This Privacy Policy explains how we collect, use, store, and share your information when you use our service at gtm.alomana.com (the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, do not use the Service.

1. Information we collect

Account information

When you sign in with Google, we receive your name, email address, and profile picture. We use this to create your account and identify you within the Service.

Google Calendar data

With your explicit consent, we access your Google Calendar events in read-only mode. We use this data to display your upcoming meetings so you can prepare before a call. We do not modify, delete, or create calendar events. Calendar data is fetched on demand and is not permanently stored.

Meeting content

During a live session, the Service captures audio from the meeting window you share (via browser screen capture) and, optionally, your microphone. Audio is processed in real time for transcription and then discarded. We do not store raw audio. The resulting transcript and any AI-generated summaries are stored in your private account space and are accessible only to you and, for organization accounts, members of your organization.

Usage data

We collect standard usage data such as browser type, device information, pages visited, and feature interactions to improve the Service. We do not use this data for advertising.

2. How we use your information

• Provide the Service: authenticate you, display your calendar, transcribe meeting audio, generate summaries, and store your session history.
• Improve the Service: analyze usage patterns in aggregate to fix bugs, improve performance, and develop new features.
• Communicate with you: send service-related notifications such as account issues or policy changes. We do not send marketing emails without your consent.
• Comply with legal obligations: respond to lawful requests from authorities.

3. Google API Services User Data Policy

Alo GTM's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

• We only use Google Calendar data to provide and improve user-facing features of the Service (displaying upcoming meetings and preparing meeting context).
• We do not transfer Google Calendar data to third parties except as necessary to provide the Service, with your explicit consent, or as required by law.
• We do not use Google Calendar data for advertising, market research, or to build user profiles for purposes unrelated to the Service.
• Human access to Google Calendar data is limited to security investigations, legal compliance, or when you provide affirmative consent.

4. Data storage and security

Your data is stored on Google Cloud infrastructure in the United States. All data is encrypted at rest and in transit. Access to production systems is restricted to authorized personnel through role-based access controls.

5. Data sharing

We do not sell, rent, or trade your personal data. We share data only in the following cases:

• Within your organization: if you use the Service through a company or team account, members of your organization may have access to shared session data. Individual users have fully private accounts.
• Service providers: we use third-party providers for hosting, AI processing, and transcription. These providers process data on our behalf and are contractually prohibited from using your data for their own purposes, including AI model training.
• Legal requirements: we may disclose data to comply with applicable law, regulation, or legal process.
• Business transfers: in the event of a merger, acquisition, or asset sale, your data may be transferred. We will notify you before your data becomes subject to a different privacy policy.

6. AI processing

Meeting transcripts and context are processed by third-party AI providers to generate summaries and insights. We do not allow these providers to use your data to train their models. Your meeting content is processed on a per-request basis and is not retained by AI providers beyond the request lifecycle.

7. Data retention

• Account data: retained while your account is active. Deleted within 30 days of account deletion.
• Meeting transcripts and summaries: retained while your account is active. You can request deletion at any time.
• Raw audio: not stored. Processed in real time and discarded after transcription.
• Google Calendar data: fetched on demand and not permanently stored. You can revoke calendar access at any time through your Google Account settings.
• Usage data: retained for up to 12 months in aggregate form.

8. Your rights

You have the right to:

• Access your personal data and request a copy.
• Correct inaccurate data.
• Delete your account and all associated data.
• Revoke Google access at any time via your Google Account permissions.
• Export your data in a portable format.
• Object to processing of your data for specific purposes.

9. International data transfers

Your data is processed in the United States. If you are located outside the United States, your data will be transferred to and processed in the US. We rely on standard contractual clauses for lawful international data transfers.

10. Children's privacy

The Service is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Continued use of the Service after changes constitutes acceptance of the revised policy.
